Job Summary:

The Contract Co-ordinator will be required to handle all administration and general content duties related to contracts (i.e.: request for proposals, bids requests for information, tracking of responses, revision and amendments to the existing contracts) while effectively communicating and maintaining rapport with BSRx divisions. The responsibilities will also include the coordination of all activities associated with RFP contract submissions and administration.

 

Duties and Responsibilities:

•Prepare, verify and complete proposals in response to major RFPs and requests for proposals
•Coordinate proposal kick off meeting with liasion from the RFP department and key functional areas (IT, Business, Finance, Operations)
•Act as a divisional lead for RFP's and assign areas of responsibility and timelines and relay this information to the RFP department
•Manage work in progress with update Gant chart - Review for compliance with RFP department
•Manage pre and post proposal customer question and answer sessions
•Verify contract-billing information, method of delivery for proposals and type of form for contracts and communicate this to all departments.

Contract Preparedness & Implementation
•Act as transition/implementation lead for all new contracts by developing a contract Gant chart with detailed action items, milestone dates and follow up items
•Track performance to fulfill commitments
•Oversee contract reporting with monthly reports; service proposals; status reports
•Build and maintain a contract calendar
•Maintain contract status file information including updates, renewals and pending proposals
•Communicate updates regarding contract expiration and renewals for all involved Teams

Clinical Trials/Pharmaceutical Clients
•Author quotations and proposals, responding to all inquiries with a focus on building, reinforcing and enhancing the existing business relationships.
•Prepare contract summaries.
•Provide contract interpretation and clarification.
•Prepare monthly updates for all stakeholders.
 

Experience:

Knowledge
Bachelors Degree or equivalent knowledge an asset.
 

Education:

Technical Skills
Minimum 2 years experience in a Contract/Proposal administration position
Full proficiency with MS Office Suite (including Word, Excel, Outlook)
Exceptional writing and proofreading skills

Social Process Skills
Strong interpersonal skills and the ability to work in a team centred environment.
Excellent oral & written communication skills and a keen attention to detail
Ability to effectively manage time and competing priorities (ability to multi-task)
Strong problem solving skills
Ability to perform under pressure, and meet tight deadlines
